Exporting Grades from C4Elink & Importing into Moodle
If you wish to export grades from C4ELink and import them into your school's Moodle system, you can do so by following the process below.
Export Grades from C4Elink Course Site:
- Access the 'Gradebook' option from your course menu bar.
- From the dropdown menu options, select 'Export' > 'Excel spreadsheet.'
- You will be presented with a list of graded items to export. Uncheck any items that you do not wish to include in your export.
- Notes:
- You can choose to export grade category totals and/or specific quizzes, exams, or assignments by checking or unchecking the items.
- By default, grades will be exported as 'Real' numbers. If desired, you can choose to adjust the export format to Percentage or Letter at the Grade export display types prompt within the Export format options section. This will depend on how you have configured your Moodle gradebook.
- Notes:
- Click the 'Export' button when you are ready to export the data.
Import Grades into Moodle:
You can import grades into your Moodle system by pasting from a spreadsheet or by importing from a CSV file. Both methods will be described below.
Regardless of the approach that you choose, we recommend that you, first, export any existing Moodle grades to an excel spreasheet as a backup prior to importing any grade into your Moodle system.
Backing Up Grades in Moodle:
- Access the course gradebook.
- From the dropdown menu options, select 'Export' > 'Excel spreadsheet.'
- Leave all items checked.
- Click 'Export.'
- Save this file on your device.
Grade Import Option 1: Paste From Spreadsheet
Preparing New Grades for Import:
- Verify that all user names, email addresses, and assignment titles are identical to those in your Moodle course.
- Verify that grades to be imported do not exceed assignments' max grades.
- Remove any blank or unnecessary columns.
Importing Grades into Moodle:
- Access the Gradebook.
- From the dropdown menu, select 'Paste from spreadsheet' under the 'Import' options.
- From your spreadsheet, copy all rows and columns with data (making sure to include column titles:
- Paste into the 'Data' field on C4ELink:
- Click 'Import Grades.'
- Review the 'Import preview' and confirm all data is displaying correctly.
- In the 'Identify user by' pane, set both 'Map from' and 'Map to' fields to email. This will match-up and identify users based on their email addresses.
- Below 'Grade item mappings,' map each assignment with its corresponding assignment item in C4ELink:
- Click 'Upload grades.' You should see a green 'Grade import success' message. If you receive an error, you will need to review all data imported and ensure it matches the information in your C4Elink course.
Grade Import Option 2: CSV File
Preparing New Grades for Import:
The file you initially exported from C4Elink must be saved on your device as a .csv file type. Please understand that the file contents must meet very specific formatting requirements for import into your Moodle system. Please note that students' names/email addresses and assignment titles in this file must be identical to what exists in your Moodle course shell. Please note, it might be helpful to first export grades from your Moodle course (remembering to save it as a .csv file) to obtain the correct formatting.
The required columns and order are as follows:
- First Name - Must match user's first name in Moodle.
- Last Name - Must match user's last name in Moodle.
- ID number - This column can be left blank, but the column heading must be present.
- Institution - This column can be left blank, but the column heading must be present.
- Department - This column can be left blank, but the column heading must be present.
- Email address - This column will be used to map users.
- Assignments - You will need a new column for each assignment you wish to import. The title must be identical to the titles in your Moodle course.
To prepare your .csv spreadsheet for importing, you will need to do the following:
- Confirm that all required columns are present and in the correct order.
- Verify that all user names, email addresses, and assignment titles are identical to those in your Moodle course.
- Verify that grades to be imported do not exceed assignments' max grades.
- Remove any blank or unnecessary columns as needed, depending on which assignments you need to import grades for. For example, if you are only importing grades for a specific quiz or assignment, you may remove all other assignment columns.
- Remove any category or course totals.
The finalized .csv file should look similar to the following sample:
Importing Your Modified .CSV File Into Moodle:
- Access the Gradebook.
- From the dropdown menu, select 'CSV file' under the 'Import' options.
- Drag and drop your modified .csv file.
- Ensure the 'Comma' radial is selected.
- Click 'Upload grades.'
- Review the 'Import preview' and confirm all data is displaying correctly.
- In the 'Identify user by' pane, set both 'Map from' and 'Map to' fields to email. This will match-up and identify users based on their email addresses.
- Below 'Grade item mappings,' map each assignment with its corresponding assignment item in C4ELink:
- Click 'Upload grades.' You should see a green 'Grade import success' message. If you receive an error, you will need to review all data imported and ensure it matches the existing information in your C4Elink course.
